This Privacy Policy explains how Smart Solution Bot, the operator of NY Property Tax and nypropertytax.org ("we," "us," or "our"), handles personal information when you use our website, homeowner portal, browser extension, and support services.

1. Information we collect

  • Account and contact details. Your name, email address, account details, and contact information you provide help us manage your account and communicate with you.
  • Property and grievance records. Property addresses, parcel identifiers, assessment values, comparable property information, signatures, authorizations, and supporting documents help us provide the services you request. Some property records come from public county sources.
  • Support communications. We receive the subject and contents of your requests, any attachments, and account or workflow details included to help troubleshoot your issue.
  • Billing records. If you purchase a service, payment providers process payment information. Our service uses billing and subscription records to manage access, payments, and receipts.
  • Technical information. Server logs and application diagnostics may include IP addresses, browser information, request times, and error details. Session cookies and similar storage support sign-in and application preferences.

2. How we use information

We use information to operate accounts; organize property records; prepare and support requested grievance services; process authorizations; manage subscriptions; respond to questions; diagnose errors; prevent misuse; and meet applicable legal obligations.

We may send account, billing, security, and service updates. If we send optional promotional messages, you can follow the unsubscribe instructions in those messages. Essential account or service communications may continue.

We do not sell your personal information.

3. When information is shared

  • Service providers. Hosting, file storage, email delivery, payment processing, and application monitoring providers may process information needed to support the service.
  • People you authorize. Members of a shared account may have access to account information according to their permissions. Only invite people you trust.
  • Grievance-related recipients. Information may be provided to county authorities or other recipients as necessary to carry out the services and authorizations you request.
  • Legal and protective purposes. We may disclose information when required by law or reasonably necessary to respond to lawful requests, investigate misuse, or protect legal rights and safety, subject to applicable law.

4. Browser extension and third-party services

If you use our browser extension, it exchanges property and workflow information with the service to support assessment lookup and grievance tasks. Review its requested permissions before installing it. You can disable or remove it through your browser settings; doing so does not automatically delete records already stored in your account.

County websites, payment providers, and other external services have their own privacy practices. Review their notices when using them. We do not control their independent handling of information, and this policy does not replace their policies or limit obligations that apply to us.

5. Retention and deletion

How long information is needed depends on its purpose, including account administration, requested services, billing, recordkeeping, disputes, and legal obligations. Contact us to request deletion or ask about a specific record. Some records may need to remain where retention is required or permitted by applicable law.

Support image retention preferences apply to uploaded images. Selecting "discard" is not a promise of immediate deletion of the entire support request, email copies, backups, or records held by a recipient.

6. Security and your responsibilities

Account authentication and access controls help restrict access to information. No website, storage system, or transmission method can guarantee absolute security or uninterrupted availability. A security incident does not remove any notification or other obligations we have under applicable law.

Use a unique password, protect your email account, and review information before uploading it. Share only documents relevant to your request, remove unrelated sensitive details, and make sure you have authority to provide information about someone else.

7. Your choices and requests

You may update available account details in the portal or contact [email protected] to request access, correction, or deletion of your information. Additional rights may apply depending on your location and applicable law. We may need to verify your identity and authority before responding, and we will explain applicable limitations.

For a request, include the email associated with your account and a short description of what you need. Do not send your password. Blocking session cookies may prevent sign-in or other features from working.

8. Scope of this policy

This policy describes information handling. It does not promise a particular assessment reduction, tax saving, filing outcome, or uninterrupted access to the service. An example in this policy illustrates a process; it is not a guarantee of a result.

Our Terms of Service address the use of the service and any applicable contractual limitations. Nothing in this policy waives rights, excuses unlawful conduct, or excludes liability that cannot lawfully be excluded. Contacting us about a concern does not limit your right to contact a regulator or seek a remedy available under applicable law.

9. Changes and contact

We may revise this policy as the service or legal requirements change. The date above identifies the version of this policy. We will provide additional notice or obtain consent when required by applicable law.
